BD — Bringdown From Specific Date
This is a bringdown of title from a specified date.
Any transactions that occur during that period of
time should be reported. The date through which the
property is searched should also be included on your
report (if registry is not current, then “search
through date” is date through which registry is
current).
CBS — Call Back Search
This is to request information that was missing or
unclear on a completed search. The purpose is to
assign a new number, so that the incoming documents
do not appear to be an inadvertent duplication of an
earlier submission. There will generally be an
“attention to” person in the special instructions,
please be sure to put that name on the document when
faxing/emailing.
L — Obtaining Copy of Specific Document
This is merely obtaining a copy of a document from
the registry (i.e., mortgage, deed, judgment lien).
LOV/QLV —Legal Owner Verification w/Deed
This is verifying exactly who owns the given
property on the date that it is being searched. A
copy of the deed supporting that ownership must be
attached to the report. Should the most current deed
be a QC from one family member to another, you must
follow the chain back to when the property came into
the family, to ascertain that there is no
outstanding “life use” or other issue affecting the
title.
MV — Mortgage Verification
Unless specifically stated that copy(ies) is
required, we require only the recording information
of the mortgage in question. E Form on Affiliate
Website or fax in.
NSR — No Search Recording
This is a recording of a specific document or
documents without performing a search of any kind.
The yellow postcard provided with the mortgage
should be returned to our office after noting the
recording information provided by the registry
(i.e., date and time, instrument/document number,
receipt number, book and page, if available).
REC — Bringdown From Specific Date and Recording
Executed documents will be sent to you for
recording. You must first complete a bringdown of
title from a specified date and then record the
documents. The yellow postcard attached to the
document should be completed with recording
information (i.e., date and time,
instrument/document number, receipt number, book and
page, if available) and should include any
transactions that may have occurred during that time
period. If there are any questionable intervening
transactions, please contact the office.
S/SI — Current Owner Searches
This is a search of the property from the date on
which the current owner(s) took title to the
present. Your report should include the current
owners of record, last conveyance information and
all outstanding liens and/or encumbrances for this
property. Tax information should be obtained when
possible. Copies of the deed into the current
owner(s) should be included. Property that has been
conveyed within a family, or is subject to probate,
should be searched back to where the family took
possession of the property (in case of “life use”
issues, etc.). Pertinent probate information should
be included when available. Be sure to check the
“special instruction” section on your ILS order
because it may require a copy of the first page and
signature page of any outstanding liens and/or
encumbrances. It is imperative that you include a
“searched through” date, e.g., through what date the
records in the registry are current (many are weeks,
even months behind).
SI is an indication that our office must complete a
title insurance commitment upon receipt of your
report. If the applicant is not the owner, please
contact the office for instructions on how to
proceed.
SNY — for New York
LMV — for New York.
Current Owner Search and
Mortgage Verification simultaneously. We require a
limited title search (provide a deed copy) and
recording info on ONLY Fleet and Fleet Family open
liens. Please do not disclose any other liens on the
property for this type of search.
SF/SFI — Full Statutory Search
This is a full statutory search of the property
pursuant to state specific statutory requirements of
the state the property is located in for full
searches. Your report should include the current
owners of record, last conveyance information and
all outstanding liens and/or encumbrances for this
property regardless of whether the lien is against
the current owner.
Tax information should be obtained when possible.
Copies of the deed into the current owner(s) should
be included. Be sure to check the special
instruction section on your ILS order because it may
require a copy of the first page and signature page
of any outstanding liens and/or encumbrances. It is
imperative that you include a “searched through”
date, e.g., through what date the records in the
registry are current (many are weeks, even months
behind). The only copy required is the deed, or any
document cited specifically in the “special
instructions.”
SFI is an indication that our office must complete a
title insurance commitment upon receipt of your
report.
